Terms and Conditions
The terms on which FJ Travel and Tour provides quotations, reservations and travel arrangements, and the responsibilities held by each party.
1. These terms
These terms govern the services FJ Travel and Tour provides. By requesting a quotation, making a booking or otherwise using our services, you accept them on behalf of yourself and everyone in your travel party.
In these terms, we, us and our mean FJ Travel and Tour. You and your mean the person making the booking and each traveller included in it. A supplier means an airline, hotel, transport operator or other provider of the travel services being arranged.
2. Our role as agent
We act as an agent arranging travel services supplied by third parties. The flight itself, the hotel room and the transfer are delivered by those suppliers, not by us.
This means your travel is also governed by the conditions of carriage or terms of the relevant supplier. Those conditions may limit or exclude the supplier's liability, and they take precedence over these terms in respect of the service they provide. We will make the relevant conditions available to you on request.
3. Quotations and pricing
- A quotation is an indication of the options available at the time it is prepared. It is not a reservation and it does not hold a seat, a room or a fare.
- Airfares depend on availability in a particular fare class. That availability can be taken by other travellers at any moment before your ticket is issued, and the price may change as a result.
- Each quotation states its own validity period, which is determined by the fare rules attached to the option quoted.
- A quotation covers only what it lists. Baggage beyond the stated allowance, seat selection, meals, visa fees, airport taxes collected locally and travel insurance are excluded unless the quotation says otherwise.
- Where a service charge applies to our work in arranging the booking, it will be shown as a separate line in the quotation before you commit.
- We do not publish fares on this website. Any price you receive comes from a consultant who has checked it against the supplier.
4. Booking conditions
- A booking is confirmed only when we have received the required payment and issued a written confirmation. Nothing said in conversation constitutes a confirmed booking.
- Passenger names must match the travel document exactly. Airlines treat a name correction as a change and may charge for it or refuse it outright. You are responsible for checking the spelling on every document we send you.
- You must tell us at the time of booking about anything that affects the arrangements, including accessibility requirements, medical conditions relevant to travel, unaccompanied minors and travel with infants.
- The person making the booking must be at least eighteen years old and legally able to enter into a contract, and confirms they have the authority to accept these terms on behalf of everyone in the party.
- Special requests are passed to the supplier but cannot be guaranteed unless the supplier confirms them in writing.
5. Payment
- Payment is due in full before tickets are issued, unless a deposit arrangement has been agreed in writing.
- Where a deposit is agreed, the balance is due by the date stated in your confirmation. Failure to pay by that date may result in cancellation and loss of the deposit.
- Prices quoted in a foreign currency are subject to the exchange rate at the time payment is processed.
- Bank charges, card processing fees and currency conversion costs applied by your bank are your responsibility.
- We will always confirm our payment details in writing. If you receive payment instructions that differ from those we have given you, stop and contact us on a number you already hold before transferring anything.
6. Ticketing
- Tickets are issued after full payment has cleared and are sent to the email address you provided.
- Check every detail as soon as you receive your ticket, including names, dates, times, routing and the airports used. Some cities have more than one airport and a departure may not be from the one you expect.
- Tell us immediately if anything is wrong. Corrections made shortly after issue are usually simpler and cheaper than corrections made later.
- Most tickets are issued in the name of the traveller and cannot be transferred to another person.
- Where a fare requires it, flight segments must be used in the sequence booked. Missing an earlier segment can cause an airline to cancel the remainder of the itinerary.
7. Travel documents and visas
- You are responsible for holding a valid passport and every visa, permit and health document required for your destination and for any country you transit.
- Many countries require a passport valid for at least six months beyond your date of entry, and some require blank pages. Check the requirements that apply to your nationality well before departure.
- Where you have asked for visa assistance, we provide guidance on documentation and help you prepare supporting travel paperwork. We do not decide visa applications. No travel agency can guarantee that a visa will be granted.
- A refused visa does not by itself make an air ticket refundable. Refundability is determined by the fare rules of the ticket.
- Entry requirements can change at short notice. Verify them with the relevant embassy or official government source before you travel.
- We accept no liability where a traveller is denied boarding or entry because the required documentation was not held.
8. Changes to a booking
- Whether a booking can be changed, and what it costs, is determined by the fare rules or supplier terms attached to it. Some fares cannot be changed at all.
- A change usually involves an airline change fee, any difference in fare between the original and the new booking, and our administration charge for handling it.
- Requests to change a booking must be made to us in writing, and take effect only once we have confirmed the change in writing.
- Changes cannot normally be made after the scheduled departure of the first segment.
9. Cancellation
Cancellation by you
- Cancellation requests must be made to us in writing. The effective date is the date we receive the request, not the date you decided to cancel.
- Cancellation charges are set by the supplier's terms and the fare rules of the ticket. Many discounted air tickets are non refundable in whole or in part.
- Our service charge covers work already carried out and is not refundable once the booking has been made.
- Where a deposit has been paid, it may be forfeited depending on the supplier's terms.
Cancellation by us
We may cancel a booking where payment is not received by the due date, where the information provided is materially inaccurate, or where we are required to do so by law or by a supplier. Where we cancel for a reason that is not your fault, we will refund what we have received and not paid on to a supplier.
10. Refunds
- Refunds are governed by the fare rules or supplier terms applying to your booking. Some bookings carry no refund entitlement.
- Where a refund is due, we claim it from the supplier on your behalf. We cannot pay a refund before the supplier has released the funds to us.
- Airline refunds routinely take several weeks to process, and in some cases longer. The timescale is set by the airline, not by us.
- Refunds are returned to the original payer using the original payment method.
- Unused tickets have no automatic refund value. A ticket left unused without being cancelled before departure is usually forfeited in full.
- Airline taxes may be recoverable on some unused tickets. Where they are, an administration charge may apply to processing the claim.
11. Changes made by a supplier
Airlines and other suppliers may change schedules, aircraft, routings and, occasionally, cancel services entirely. These decisions are outside our control.
We will inform you of any change we are notified of and help you find an alternative. Where a flight is delayed, cancelled or overbooked, any entitlement to compensation, re-routing or assistance is a matter between you and the airline under the passenger rights rules that apply to your journey. We will assist you in making such a claim, but the obligation rests with the carrier.
12. Travel insurance
We strongly recommend that every traveller holds adequate travel insurance from the moment of booking. Cover should extend to medical treatment and repatriation, trip cancellation and curtailment, baggage, and any activity you intend to undertake.
Insurance taken out at the time of booking generally provides cancellation cover from that date. Insurance bought shortly before departure usually will not. Travelling without insurance is at your own risk.
13. Liability
- We are liable for the reasonable care and skill of the booking service we provide, including making the reservations you asked for and passing on your requirements accurately.
- We are not liable for the acts or omissions of suppliers, or for the quality of the travel services they deliver.
- We are not liable for loss arising from events outside our reasonable control, including weather, natural disaster, industrial action, airspace closure, civil unrest, epidemic, government action or supplier insolvency.
- International conventions, including the Montreal Convention for carriage by air, limit the liability of carriers. Those limits apply to your journey.
- Except where liability cannot lawfully be limited, including for death or personal injury caused by our negligence, or for fraud, our total liability in connection with a booking is limited to the service charge we received for arranging it.
- We are not liable for indirect or consequential loss, including lost earnings, missed business opportunities or the cost of arrangements booked separately by you.
14. Your responsibilities
- Provide accurate information, including names exactly as shown on travel documents.
- Check every document we send you promptly and report errors immediately.
- Hold valid passports, visas and any required health documentation.
- Arrive at the airport in time to meet the check in and boarding deadlines of the carrier.
- Comply with the conditions of carriage and rules of each supplier.
- Behave in a manner that does not endanger or seriously inconvenience others. Carriers may refuse travel on these grounds and no refund is due where they do.
15. Complaints
If something goes wrong while you are travelling, raise it with the supplier at the time. Many issues can only be resolved on the spot, and a supplier may decline a claim made after the fact where it was not reported during the trip.
If you remain dissatisfied, contact us in writing using the details in section 17 with your booking reference and a description of what happened. We will acknowledge your complaint and investigate it.
16. Governing law
These terms are governed by the laws of the country in which FJ Travel and Tour is established, and the courts of that country have jurisdiction over any dispute arising from them. Nothing in these terms removes any statutory consumer right you hold that cannot lawfully be excluded.
If any provision of these terms is found to be unenforceable, the remaining provisions continue in force.
